Importing a Student List from eSIS into Grade Machine
 

Overview

It is not difficult to import a student list from eSIS into Grade Machine, if you have the right tools. L. Soderholm and HeckmanSoft LLC have collaborated to create and provide the necessary tools to facilitate this process for you. This document describes step-by-step how to use those tools.

Unfortunately this process is not as simple as it could be, primarily because there is currently no efficient way to extract a class list in raw data format from eSIS. So, for now that extraction is a manual process that you will perform, as described below.

Minimum Requirements

This document assumes that you have Grade Machine installed on the computer you are using, and that you have a username and password to access eSIS. If you do not meet either of these minimum requirements, consult your computer services department for assistance.

Conventions Used in this Document

When you are asked to "right-click" on a link, you should move your mouse over the link and press the right mouse button instead of the left one. Macintosh users with a single-button mouse should click and hold the mouse button.

Install Grade Machine Filter

Before you get started, you must install a new filter for Grade Machine. This filter tells Grade Machine how to import the data that we will extract from eSIS.

You only have to perform these steps once for each computer where you plan to use this import process.

Please read these instructions carefully. If you make a mistake, you will not recognize it until fairly late in the import process.

  1. Right-click on the following link, and from the menu that appears, select "Save Target As..." (or "Save Link As..." if you are using a Web browser other than Internet Explorer).

  2. A "Save As" dialog box (small window) should appear. Locate where Grade Machine is installed on your computer. Most likely it is installed on the C: drive, in a folder called GMWIN68 or something similar.

    If you cannot find this folder, press Cancel, and from the Start menu, choose "Find" (or "Search"), and search for Files and Folders named "GMWIN".
    If you find the folder, make note of the location, and repeat step 1 above.
    If you do not find the folder, then Grade Machine is most likely not installed on your computer.

  3. Within the Grade Machine folder, open the folder named FILTERS.
  4. Do not change the file name, and press OK.

Generate Class Report and Convert

You should carry out the following steps for each class you want to create in Grade Machine.

Be sure you have installed the Grade Machine filter before you proceed. If you are not sure, there is no harm in installing it again.

  1. Click on the following link, and within that window, login to eSIS using your username and password.

    Note: After you login, the "Class Changes Notification" window may be open first. Press "OK" to get to the main page of Teacher Assistant.

  2. Uncheck the box next to "Today's Classes" in the upper left on the main page of Teacher Assistant.
  3. Press the "Reports" button, and choose the "Class List" report.
  4. Choose the "Multiple" option (not the "Multiple..." button), and from the pull-down menu, choose the class that you want to extract the student list for. Then press the "Continue..." button.
  5. A new window should open and the report should be displayed using the Adobe Acrobat Reader. From the toolbar choose the "Text Select Tool" .
  6. Starting in the upper-left corner of the first page, click and drag downward with the mouse until all text on all pages has been selected.

    Note: If you do not have all text on all pages selected, the rest of this process will not work correctly.

    Then press Ctrl-C (or Option-C on a Macintosh) to copy the selection to the system clipboard.

  7. Click on the following link, and a new window will appear.

  8. Within the new window, click inside the form field, and from the "Edit" menu, choose "Paste". Then press the "Convert" button.
  9. A dialog box should appear asking you what you want to do with this file.
    Choose "Save to Disk" and press OK.

    If a dialog did not appear, from the "File" menu, choose "Save As...".

  10. A "Save As" dialog box should appear. Name the file with a ".txt" extension, and choose a folder on your computer in which to save it. Press OK.
  11. Close the convert window.

You have successfully extracted the class list from eSIS. Now continue to the next section to import the data into Grade Machine.

Import Data Into Grade Machine

You should carry out the following steps for each class you want to create in Grade Machine.

Be sure that you have generated the class report and converted it before you proceed with the following steps:

  1. Start Grade Machine, if it is not already running.
  2. Create a new class by pressing the "New Class" button in the toolbar.
  3. From the "File" menu, choose "Import". From the list that appears, choose "ESIS Converted", and press OK.

    If you cannot find "ESIS Converted" in the list, press Cancel, and carefully repeat the process of installing the Grade Machine filter. When you are finished repeat this step.

  4. An "Import from" dialog box should open. Locate the file you saved from the previous section, and press OK.

The student list should now be imported. You may now delete the file you saved from the previous section.
